(Note: I don’t personally use these tools because I prefer a more customizable approach. However, all of these tools are highly recommended within the coaching industry.)

Nudge Coach

There are plenty of features; you have in-app video conferencing tools, invoicing and payments solutions (powered by Stripe), and tools to build online courses.

CoachVantage

One of the top things that makes CoachVantage stand out is the number of integrations it has. It seamlessly integrates with Stripe, PayPal, Zoom, and Google Calendar.

Dropbox Sign
Dropbox Sign is an efficient and secure electronic signature solution. With Dropbox Sign, you can send contracts, agreements, and waivers to clients for digital signing. The tool also sends out reminders, plus stores all your documents in one place.

Scheduling software
As an online coach, your work is done through coaching calls. And that’s why scheduling software is important – this type of software eliminates the need for any back-and-forth between you and your clients. There’s one software I recommend and I’ve listed it here below:
Calendly
Calendly is a scheduling tool that simplifies the process of booking appointments and managing your coaching sessions. With Calendly, you can share your availability, allowing clients to schedule sessions without the endless emailing back and forth.
Calendly also offers integrations with calendar platforms including iCal, Google Calendar, and Outlook Calendar. You can set up automated reminders, customize your availability easily, and add buffer times between sessions.
Features:
- Integrations with popular calendar platforms
- Customizable booking page that you can embed into your website
- Automatic reminders for you and the client on upcoming meeting notifications
Price: From $8 per month.
Client communication software
Your coaching packages typically include coaching sessions, and coaching support in-between calls. To deliver your coaching, you need both video conferencing software and software/tools to communicate with your clients so that they can ask questions and you can share material with each other.
Here are my recommendations:
Zoom
Zoom is my preferred video meeting tool. I use it for both one-on-one sessions and masterminds; I’ve had hundreds of attendees on some of my sessions.
One of the best things about Zoom is its many features, while ensuring high performance. You can use features like screen sharing, annotation, and comments to run your sessions.

- Ability to record sessions
- Up to 1,000 attendees so perfect for coaching sessions of all sizes
- Reliable share screen technology
Price: Free version available. Pro version from $149 per year.
Loom
Loom is a video messaging tool with which you can create short video messages (either sharing your screen or with a talking head). You can use Loom to send your coaching clients messages or, if you have one, communicate with your team.
Features:
- Ability to film your screen and your face for tutorial videos
- Simple video editing capabilities
- Advanced privacy controls including password-protected videos
Price: Free version available. Pro version from $12.50 per month.
Google Workspace
I use Google Workspaces for a lot of tasks in my business – from my business email to organizing my calendar and storing documents and communicating with my team and clients. You have access to features like Google Drive, Docs, and Calendar – must-haves in my own business.
Features:
- Integrates with multiple online platforms for a seamless workflow
- Easy document storage and organization
- Wide range of free document creation tools to make presentations, proposals, and spreadsheets
Price: Free version available. Pro versions from $7.20 per month.
Voxer
Voxer is a chat tool that lets you chat with your clients in between sessions. You can send text and voice messages to one or several people.
Try what works best for you (I have other recommendations below), but I personally like Voxer as it’s an extremely simple tool. You don’t need a ton of bells and whistles for communicating with your clients – something that will divert focus from the #1 goal of your coaching program, to help your clients transform their lives.
Plus, it’s a scalable tool, too, if you’re planning on launching group programs.
Features:
- Wide range of messaging mediums – video, photo, text, and voice note
- Possible to have large group chats for group coaching
- Desktop version available
Price: Free version available. Pro version from $3.99 per month.
WhatsApp is another tool you can use for your client communication. This tool works for both individual and group coaching. You can send text and video messages, as well as multimedia like videos and images.
One of the advantages of WhatsApp is that it’s used all over the world, so your clients might already be using it. On the other hand, if you use WhatsApp privately, you might want to use a business phone number so that you keep your personal and business messages separate.

- Personalized WhatsApp Business profile
- Sell digital downloads through the catalog feature
Price: First 1,000 conversations per month are free. After that, pricing depends on your region.
Slack
And finally, there’s Slack. Slack is different from Voxer and WhatsApp because it lets you create separate rooms. So you might have one, general thread for lead generation (to attract people to your coaching). And then a paid thread for your clients.
You can also do calls on Slack, so that might be interesting if you’re looking for video capabilities in your communication tool.

Business management software
You also need business management software to manage your business. Here below, I’ve listed my favorites. While some of them are applicable to all coaches, especially Basecamp is for coaches who are a bit further ahead and have already started building their team.
Let’s dive in.
Typeform
Typeform is a software that allows you to send out surveys. For instance, if you’re doing market research and want answers from your audience, you’d use Typeform. Or, if you want to create a coaching intake form, that’s another use case.
You get access to hundreds of templates (marketing surveys, application forms, polls…) and an easy drag-and-drop editor. You can also integrate it with Slack, Mailchimp, Hubspot, Calendly, Notion, and more.

- Add your branding to your custom forms
- Access to hundreds of templates
- Dozens of integrations with popular tools
Price: From $25 per month.
Basecamp
Basecamp is a tool for team management. I use Basecamp to communicate with my team and manage projects. With this tool, you can set up tasks, share files, and manage deadlines.
Another option for using Basecamp would be to manage your personal projects. So if you need a way to structure projects, then you can use Basecamp for that.

- Store and share files
- Dynamic schedule between you and your team
Price: From $15 per month.
Dropbox
Dropbox is a cloud storage and file-sharing platform, which you can use to store, sync, and share documents, photos, and videos. For instance, you might store videos (which take up a lot of storage space) on Dropbox.
I personally use Dropbox to share content that’s hard to store elsewhere (aka videos and big images) and to share things with my team (such as deliverables).

- Accessible from tablet, desktop, and mobile
- Easy to share documents with others
Price: Free version available. Premium version from $9.99 per month.
Online course software and platforms
Finally, we have online course software. Online courses are the next natural step for coaches who want to scale after having successfully sold out their one-on-one and group coaching.
While you have a few options for hosting your course (eg. a free platform like a Facebook group), there are course-building platforms out there that offer drag-and-drop tools. Here are the top ones.
Teachable
Teachable, one of my long-term partners, is a really solid option for building your course.
You can use videos, photos, graphics, and text to create your course. Then you can choose how to monetize, how to design, and how to set up your course. Teachable also includes features to sell your coaching services.
Features:
- Easy to sync with email software
- Automated feedback quizzes
- Drag-and-drop course builder
Price: Free version if you just have one course with a maximum of ten students. Premium versions from $39 per month.
Kajabi
Kajabi is another all-in-one platform for creating and selling online courses, membership sites, and digital products. Some of the tools included in this platform include marketing tools, payment processing, and analytics. I don’t personally use and haven’t used Kajabi.

Thinkific
Thinkific is an alternative course creation software with a user-friendly interface, customizable templates, and robust marketing features. It’s one of the best-known options out there (along with Kajabi and Teachable). While I haven’t personally used this platform, it does have a good reputation among course creators.

- Access Thinkific Academy to learn marketing skills

Ultimately, how do you decide which software you’re going to use for your business?
As a new coach you need:
- Scheduling software
- Contract software
- Communication software
- Business management software
- Invoicing software
If you have a team, then you need team collaboration tools. And you might use tools to manage your time.
My personal “stack” of tools (that I recommend for new coaches) are:
- Calendly for scheduling
- Zoom, Voxer, and Google Workspace for communication
- Typeform for surveying my audience
- Basecamp for team communication
- Dropbox for file management
- Teachable for course software
Many of these are tools I’ve used from the start – and I still use them today, even as my business is generating multiple seven figures.
